Summary

The American Association of Nurse Practitioners (AANP) collaborates with various partner organizations through different types of partnerships. These include Collaborative Alliances, NP Engagement Opportunities, and other initiatives. Partnerships generally involve non-financial agreements such as advertising in AANP publications, sponsorships, royalty agreements, and fulfilling grant responsibilities. This document outlines the business requirements for managing these partnerships in Salesforce Sales Cloud.

Currently, partnership data is being tracked in an excel file and at this point the objective is to move that data into Salesforce to manage.

Key Types of Partnerships:

  1. Collaborative Alliances: Partnerships focused on joint initiatives, resource sharing, and collaborative projects to support the NP profession.
  2. NP Engagement Opportunities: Partnerships that include advertising, sponsorships, and royalty agreements for using AANP’s brand or resources.

Key Benefits of Partnerships:

  • Resource Sharing: Access to AANP’s resources, including educational materials, advocacy tools, and networking opportunities.
  • Joint Initiatives: Collaboration on projects and initiatives that advance the NP profession.
  • Advertising and Sponsorship: Opportunities to advertise in AANP publications, sponsor events, and engage with AANP’s membership.
  • Royalty Agreements: Use of AANP’s brand and resources under royalty agreements, providing financial benefits to AANP and promotional advantages to partners.

Requirements

External User Requirements (Partners)

Application and Onboarding:

  1. As a partner, I should be able to apply for a partnership through an online application form.

Partnership Management:

  1. As a partner, I should be able to apply for advertising and sponsorship opportunities online.
  2. As a partner, I should receive acknowledgment communications when participating in a partnership to recognize my involvement and contribution.
  3. As a partner, I should be able to request royalty agreements through an online form.
  4. As a partner, I should be able to provide periodic updates through an online form.
  5. As a partner, I should be able to submit required documentation/updates for a partnership through a user-friendly system.
  6. As a partner, I should receive communications that keep me informed and engaged about the activities, progress, and value of partnership.
  7. As a partner, I should be able to complete annual partnership review tasks online.
  8. As a partner, I should be able to pay an invoice online via credit card or submit payment by check (offline)

Account Management:

  1. As a partner, I should receive communications and sales materials relevant to my organization's partnership type and location.

Internal User Requirements (AANP Staff)

Partnership Application Processing:

  1. As an internal user, I should be able to create a partnership account record when an application is submitted through the online form.
  2. As an internal user, I should be able to review and approve partnership applications.
  3. As an internal user, I should be able to manage and update organizational details and primary contacts.

Partnership Management:

  1. As an internal user, I should be able to view and manage all partnership account records in one centralized system or location.
  2. As an internal user, I should be able to track changes and activity history on all partnership records over time.
  3. As an internal user, I should be able to merge duplicate partnership records based on matching criteria.
  4. As an internal user, I should be able to track partnership details like name, participating contacts, meeting updates, action items and objectives in a centralized system.
  5. As an internal user, I should be able to associate multiple contacts from both my organization and partner organizations to partnerships for complete engagement visibility.
  6. As an internal user, I should be able to generate automated communications and reminders for partnership meetings/obligations to streamline collaboration.
  7. As an internal user, I should be able to upload relevant partnership documents like contracts and meeting notes and link them to the appropriate record for easy access and record keeping.
  8. As an internal user, I should be able to track commitments and obligations with other internal teams to ensure requirements are met through the life of a partnership.
  9. As an internal user, I should be able to integrate the system with marketing and education platforms to facilitate tracking commitments and deliverables associated with partnerships.
  10. As an internal user, I should be able to centrally manage long-standing partnerships that may span multiple years and evolving engagements within a single record.
  11. As an internal user, I should be able to manage and track annual partnership review tasks and milestones.
  12. As an internal user, I should be able to create an invoice that can be viewed online and downloaded by a Corporate Council prospect to provide payment for membership via check or credit card.
  13. As an Internal User, I should be able attach fee payments to a Partner record for historical review. These are payments AANP makes TO the partner.

Reporting and Data Management:

  1. As an internal user, I should be able to access insights and dashboards that provide a holistic view of partnership health, engagement levels over time, and opportunities for improvement.
  2. As an internal user, I should be able to run customized reports on partnership data, engagement, and other metrics.
  3. As an internal user, I should be able to flag partnership accounts missing the required primary contact information.
  4. As an internal user, I should be able to run monthly and quarterly reports showing all related activity such as meeting updtes and action items with that timeframe.

Assumptions

  • All Internal and External Users will be included in the Personas definition.
  • Timelines will follow as outlined in each requirement.

  • As a partner, I should be able to view my organization's partnership details and annual review status online.
  • As a partner, I should be able to collaborate on joint initiatives with AANP and track the progress of these projects online.
  • As a partner, I should have a centralized profile to manage all aspects of my partnership without relying on individual users' accounts.
  • As a partner, I should be able to add/update additional authorized contacts on my organization's account.
  • As a partner, I should be able to run customized reports on my organization's partnership history and engagement records.
  • As an internal user, I should be able to configure automated campaign workflows to streamline outreach, communications and follow-ups with partners based on attributes and behavior.
  • As a partner, I should be able to access AANP resources, including educational materials, advocacy tools, and event sponsorship opportunities.
  • As a partner, I should be able to collaborate on joint initiatives with AANP.

Partnership Fields

These fields currently exist in the excel spreadsheet tabs where partnerships are being tracked. They need to be converted to fields in Salesforce. Some redesign may be applicable, especially where activity is being tracked.

I2C, please utilize a multiselect picklist with selected options appearing as pills below the dropdown as seen here, if possible. This would work well for the therapeutic areas listings as well on a Person record.
